How I Learned the Hard Way That Systems Save Practices

In my first year of practice ownership, everything looked good from the outside.
A fee-for-service startup that hit $1M. A wedding to plan. A life that seemed full of momentum.
But behind the scenes, it was fragile. My assistant quit. My fiancé walked out — in the middle of a patient appointment. My body shut down. I had to close the practice for two weeks.
That’s when I realized: my entire practice was being held together by me. My patients felt it. My team felt it. And it wasn’t sustainable.
So I started with a blank Google Doc. I wrote down everything: how we answered the phone, how we onboarded staff, how we cared for patients. What began as survival became the foundation of a scalable, profitable business.
The result? Today my practice runs at 40–50% profit margins — and it will only get stronger as we expand what started in that Google Doc into SOPHiE™, the system that helps practices run themselves.
